Privacy Policy

The Bottom Line Company ("The Bottom Line", "we", "us") helps accounting firms grow through marketing and sales. This policy explains what personal information we collect, why, who we share it with, and the choices you have. It applies to thebottomline.company, our forms and newsletter, and the software we use to connect to advertising platforms on our clients' behalf.
We are based in Quebec, so we follow Quebec's Act respecting the protection of personal information in the private sector as well as Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

What we collect
Information you give us
When you fill in a contact form, book a call, download a resource or subscribe to our newsletter, we collect what you enter. That is usually your name, email address, phone number, firm name, role, and anything you write in a message.
Information collected automatically
When you visit our website we use analytics tools to understand how it is used. These tools record the pages you view, how you got here, how long you stay, what you click, your browser and device type, and your approximate location (city or region, derived from your IP address). They use cookies and similar technologies to do this. See Cookies and tracking below.
Information from advertising platforms you connect
To run and report on campaigns for our clients, our software connects to advertising platforms, including Google Ads, Meta (Facebook and Instagram) and LinkedIn. It only connects when an authorized person at the client explicitly grants access. Through those connections we access:
- Basic profile information of the person who authorizes the connection, such as their name and email address, to confirm who granted access.
- Advertising account data: account and campaign names and IDs, budgets, spend, impressions, clicks, leads, conversions and other performance metrics.
- Lead form submissions, where a client runs lead-generation ads and asks us to route those leads to them.
We do not access private messages, personal contacts, friends lists or any data beyond what the client authorizes and what we need to deliver the service.
How we use it
- To reply to your enquiry, book and hold calls, and provide services you ask for.
- To send our newsletter and resources you signed up for. Every email has an unsubscribe link.
- To manage, measure and report on our clients' advertising campaigns.
- To understand how our website is used and improve it.
- To keep our systems secure and to meet our legal obligations.
We do not sell personal information, and we do not rent or trade it.
Data from Google, Meta and LinkedIn
Data we receive through advertising platform connections is used only to provide our services to the client who authorized the connection: campaign management, reporting and analysis. Specifically:
- We do not sell it or use it to build profiles for advertising.
- We do not share it with anyone except the client it belongs to and the service providers we need to deliver the service (listed below).
- Our staff only look at it to provide the service, for security, or to meet a legal obligation.
The Bottom Line's use and transfer of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements. We also comply with the Meta Platform Terms and the LinkedIn API Terms of Use.
You can revoke our access at any time from the platform's own settings: Google Account permissions, Meta Business Integrations, or LinkedIn's permitted services. Revoking access stops new data from reaching us. To also have us delete the data we already hold, see Deleting your data.
Who we share it with
We use a small number of service providers to run our business. They process personal information on our behalf and only for the purposes above:
- HubSpot: our CRM and email platform. It stores contact details and form submissions and sends our newsletter.
- Google: Google Analytics and Google Tag Manager for website analytics, and Google Cloud (including Firebase) for website hosting and data storage.
- PostHog: website and product analytics.
We may also disclose information if the law requires it, or to a buyer as part of a merger or sale of the business. In a sale, the buyer must protect it under the same terms.
Where your information is stored
Some of our service providers store data outside Quebec and outside Canada, mainly in the United States. Before we transfer personal information outside Quebec, we assess whether it will be adequately protected, and we put contracts in place that require our providers to protect it. Information stored in another country may be accessible to that country's courts and authorities under its laws.
Cookies and tracking
Our website uses cookies and similar technologies through Google Analytics, Google Tag Manager and PostHog. They tell us which pages are visited and how people move through the site. We do not use them to identify you by name.
You can turn these technologies off by:
- blocking or deleting cookies in your browser settings,
- installing the Google Analytics opt-out browser add-on, or
- using your browser's "Do Not Track" or private browsing mode.
The site will still work if you do.
How long we keep it
- Enquiries and prospect records: up to three years after our last contact with you, unless you become a client.
- Client records: for the length of the relationship, plus up to seven years where tax or accounting law requires it.
- Advertising platform data: for as long as the client keeps the connection active and our engagement continues. It is deleted within 30 days of a verified deletion request or the end of the engagement, unless the client asks us in writing to keep historical reports.
- Website analytics: up to 14 months.
- Newsletter: until you unsubscribe.
Your rights
You have the right to:
- know whether we hold personal information about you, and get a copy of it,
- have inaccurate or incomplete information corrected,
- have your information deleted, or have us stop using or sharing it,
- withdraw your consent at any time,
- receive information you gave us in a structured, commonly used technological format, and
- be told about any automated decision made about you. We do not make any.
To use any of these rights, email admin@thebottomline.company. We will reply within 30 days. We may ask you to confirm your identity first.
Deleting your data
To have us delete your personal information, including any data we received from Google, Meta or LinkedIn, email admin@thebottomline.company with the subject line "Data deletion request". Tell us your name, the email address you used with us and, if it applies, which advertising account was connected. We will confirm by email once the deletion is complete, within 30 days. If you removed our app in Facebook or Instagram settings, you can send the same request.
Complaints
If you are unhappy with how we have handled your information, please contact us first so we can try to fix it. You can also complain to the Commission d'accès à l'information du Québec or the Office of the Privacy Commissioner of Canada.
Security
We protect personal information with access controls, encryption in transit, and by limiting access to the people who need it to do their jobs. No system is perfectly secure. If a privacy incident creates a risk of serious harm, we will notify you and the relevant authorities as the law requires.
Children
Our website and services are for businesses. We do not knowingly collect information from anyone under 14.
Changes to this policy
We may update this policy as our services or the law change. We will post the new version here with a new effective date. If the changes are significant, we will tell clients and subscribers directly.
